Contract and Process Manager

m/w/d, Basel-Stadt

For our Pharma client based in Basel, we are looking for a dynamic and experienced Contract and Process Manager.

Background:

Our client is looking for a Contract & Process Manager to join the Medical Affaire Team to support them with the increased workload.

In this position, you will need to be able to work independently in a dynamic environment with multiple projects at one time such as with very specific deadlines.

The main focus will be on way of working and work experience in a similar position.

As a Contract & Process Manager you will work with different teams: Compliance, Legal , External contract partners etc, so the key requirements are:

Your main responsibilities:

The primary purpose of this role is to provide and coordinate a consistent approach ensuring the preparation, execution, communication, and timely conclusion of contracts within a global organisation while adhering to all relevant compliance guidelines and EFPIA requirements.

  • Manage individually the preparation, execution, documentation and archiving of standard & non-standard contracts within the Contract & Process Management Team in Basel
  • Ensure a constant cross-functional coordination of operational processes and manage all phases of the projects: preparation, scoping, analysis and design as well as implementation and execution according to the legal rules and appropriate global and local compliance regulations
  • Responsible for timely coordination of complete contract-related logistics including drafting and finalization of sponsorship and grant contracts together with project lead (GM/ MA), with legal & compliance function as well as with external contract partners
  • Initiation of the EFPIA process by generating and tracking activity IDs in the Crystal Data Collector (CDC) and support for Master data maintenance for Healthcare Professionals (HCPs) and HCOs in respective tools (CDC)
  • Creation and handling of EFPIA relevant POs for HCPs and HCOs (via Smartbuy) as well as ensuring the invoicing process and payments
  • Process Transfer for Value (ToV) documents according to EFPIA reporting requirements
  • Interaction with HCx for all contract types as well as support HCPs for travel arrangements
  • Proactively drive process optimization and improvements in efficiency

 

Qualification & Competencies:

  • Academic degree (e.g. Bachelor, Berufsakademie) in the economic field or similar education
  • Business interest preferably in contract management
  • Ability to build and maintain relationships with HCPs
  • High level of reliability as well as structured and result oriented method of operation
  • Flexibility to adapt to a fast moving and international environment
  • Team player, task oriented and keen on working in a cross-cultural working environment
  • Fluent in English and German would be a nice to have
