For our client, a leading company in the MedTech field, we are currently looking for an Executive and Team Assistant

We are looking for an exceptional administrative professional who is ready to be the strategic right hand to a senior leader and provide essential support to areas of the regional commercial team. The ideal candidate thrives in a fast-paced environment and wants to have a direct impact on commercial delivery. The EMEA LATAM (europe, middle east, africa and latin america) organisation  is looking for an highly proficient Assistant to provide essential support to an LT member and the team.
In this role, you’ll be a key enabler at the heart of our regional commercial project team. You will work side-by-side with the head of the department and their team, helping them collaborate with country affiliates to ensure the commercial delivery of the region. The Perfect Candidate has a minimum of 3+ years of experience as an Executive Assistant. They are highly skilled with Google Suite applications (Gmail, G-Drive, G-Calendar, etc.) and actively utilize AI tools to automate routine tasks. They are fast learners with a "can-do" attitude, eager to experiment with new ways of working and thrive in a global network. The successful candidate is a natural team player who can maintain confidentiality and build strong relationships across the organization, as well as a proactive, adaptable, and highly organized professional. Fluent C1+ level verbal and written English communication skills are also required.

• Workload: 50%
• Home Office: Yes, is possible but office presence is preferred for more than 50% of the working time

Tasks and Responsibilities:

  • Executive Support & Coordination: Serve as the trusted point of contact for a regional LT member, managing complex calendars, expense reporting and arranging international travel.
  • Operational Excellence: Serve as the “go-to”; operational expert for the team, handling budget management, expense tracking, purchase orders, digital signatures and ensuring all administrative processes run smoothly.
  • Confidentiality: Handle highly sensitive and confidential business and financial information with discretion and professionalism
  • Team Enablement: Drive a positive and productive team environment by coordinating meetings and large-scale events, while also developing and maintaining team resources like the G-Site.
  • Calendar & Meeting Management: Schedule and coordinate NEO meetings (monthly, F2F, sub-chapter, ad-hoc), organize agendas, record action items and decisions.
  • Communication Oversight: Manage the NEO generic email account, screen and draft responses, and maintain organized correspondence.
  • Community Engagement: Maintain active Google Spaces groups, manage member lists, and oversee mailing lists for the NEO Team and Digital Marketing Community.
  • Administrative support of NEO Sub-Chapter Leaders: Provide proactive coordination and organizational assistance to ensure consistency and efficiency
  • Assistant Network: Close collaboration with the EMEA-LATAM Assistants and providing support to each other as needed

Your Profile:

  • A Bachelor’s Degree in Business Administration, or a related field, or a commercial apprenticeship in office administration (KV)
  • Minimum of 3+ years of experience as an Executive Assistant or Office Manager 
  • Highly skilled with Google Suite applications (Gmail, G-Drive, G- Calendar, etc.) and actively utilize AI tools to automate routine tasks 
  • A fast learner with a “can-do” attitude, eager to experiment with new ways of working and thrive in a global network 
  • A natural team player who can maintain confidentiality and build strong relationships across the organization 
  • A proactive, adaptable, and highly organized professional 
  • Fluent C1+ level verbal and written English communication skills
